This Privacy Policy describes the procedures for collecting, storing, processing, protecting, and using personal data of users of the portal clients.kaplia.pro, owned by Private Entrepreneur Vitalii Kaplia.
(Ukraine, 08520, Kyiv region, Borova, Sosiury St., 2).
By using the portal, you confirm that you have read and agreed to this Privacy Policy.
1. General Provisions
1.1. The Portal is designed to simplify interaction between the service provider (Private Entrepreneur Vitalii Kaplia) and his clients. Through the Portal, users can:

view their websites, domains, and mailboxes;

download website backups, databases, and working repository files;

renew service periods and make payments;
-
view account expiration dates;
-
submit support requests;
-
access the Planka project manager, email mailboxes, brief forms, and other internal services.
1.2. The Portal functions as an abstract interface layer allowing users to manage their resources in a convenient way. Deleting an account on the Portal does not affect actual hosting resources.
1.3. Registration occurs automatically upon first authorization.

2.3. Payment Data
We receive only partial technical data via API:

All payments are processed exclusively by acquiring systems.
The Portal does not store full card details.
The Portal stores the user’s history of successful transactions (date, amount, type of payment) for accounting, payment confirmation, and displaying this information in the user profile.
2.4. Data Related to File Downloads
When downloading:

backups,

website files,
-
databases,
-
repositories (archives without full history),
users may receive files containing confidential information of the service provider, including ACF, WPML keys and other technical data that constitute part of the project’s business logic. This information is provided solely within the scope of cooperation.
2.5. System Log Data
For security and diagnostics, system logs may include:

Logs are used exclusively to ensure security and diagnose system operation.
They are not accessible to users and are not shared with third parties.
2.6. Files and personal materials attached to the account
The account may have personal files or private links attached, which are transmitted to the client in the course of cooperation (documentation, project materials, logins and passwords, additional resources, etc.).
These materials:

are available only to authorized users who have access to the respective account;

are not displayed to other portal users;
-
are not transferred to third parties without the data owner’s permission.
The portal does not modify the content of such files and does not use them for its own purposes.
Access is provided solely for viewing and downloading as part of the cooperation.
2.7. Data for billing
If you choose the PDF-invoice payment method, the Portal may process additional data related to the type of client, including:
- details of the individual,
- data of the individual entrepreneur (full name, TIN / RNOKPP, IBAN, bank, address),
- data of the legal entity (company name, EDRPOU code, IBAN, legal address).
These data are used exclusively for the formation of invoices and financial documents and are not transferred to third parties, except in cases provided for by law.
3. How We Use Collected Data
Data is used to:

identify users during authorization;

verify security (Cloudflare Turnstile, Google OAuth);

provide access to user resources;
-
generate and confirm payments;
-
send email notifications (successful/failed payments, reminders);

process support requests;
-
analyze system usage internally.
Data is not used for advertising or marketing.
4. Authorization and Third-Party Services
4.1. Cloudflare Turnstile
Used in standard mode to verify that requests come from real users.
Turnstile may receive technical browser data but does not receive personal data.
4.2. Google OAuth / Google One Tap
The Portal may receive:

authentication confirmation
Google does not receive data from the Portal.
4.3. Telegram Notifications for Administrators
Used solely for technical monitoring. No personal data is transmitted.
5. Sharing Data with Third Parties
Data may be shared only in the following cases:

Payment systems: LiqPay (minimal technical data)

Analytics: Google Analytics, Microsoft Clarity

Hosting Provider: Hosting Ukraine (servers physically located in Germany)
Data is not sold, shared with advertisers, or transmitted to unauthorized parties.
6. Data Storage and Security

Data is stored on Hosting Ukraine servers (location: Germany).

Access to data is strictly limited.

Automatic data deletion is not applied.
Deleting an account in the Portal removes data stored within the Portal but does not delete:

websites
-
backups
-
domains
-
mailboxes
These resources exist outside the Portal and are managed via hosting.
7. User Rights
Users have the right to:

view their personal data;
-
modify email, name, and phone number in their profile;
-
delete their Portal account;
-
request a copy of their data;
-
request full data removal through support.
Deleting a Portal account does not affect hosting services associated with the user.
8. Cookies
The Portal uses cookies for:

session management;
-
language preferences;
-
authorization system functionality;
-
bot protection (Cloudflare Turnstile);
-
analytics (Google Analytics, Clarity).
Cookies are not used for advertising.
9. File Downloads and User Responsibility
By downloading files (backups, databases, repositories), the user acknowledges that:

files may contain confidential information of the service provider, including ACF/WPML keys and technical configuration data.
The user agrees to:

not disclose this information to third parties;
-
use it only for their own project;
-
ensure proper confidentiality.
10. Online Support Chat
The portal contains a chat widget that allows authorized users to receive prompt support.
During the use of the chat, the following data may be processed:

user’s name and email;
-
message text;
-
date and time of inquiries;
-
technical data (IP, browser, device);
-
information about the user’s online activity (the fact of being on the Portal in real-time).
The chat is used exclusively for communication between the Executor and the User.
Chat data is not transferred to third parties and is not used for marketing purposes.
11. Invitations (invites)
The portal supports the functionality of personal invitations (invites), which allow Users to automatically gain access to a specific account after authorization.
During the use of invites:
-
A User who follows the personal invite link automatically gains access to the account after authorization;
-
the invite can be used an unlimited number of times unless disabled by the Executor;
-
the account owner is responsible for sharing the invite link with others;
-
in case of suspicion of unauthorized distribution, the invite can be annulled at the request of the User or by the decision of the Executor.
Invites provide access only after authorization and do not contain personal data themselves.
12. Policy Updates
This Policy may be updated due to legal changes or Portal development.
The latest version is available at clients.kaplia.pro/en/privacy-policy.
13. Automatic Notifications
The Portal sends service email notifications, including reminders about service renewal.
Notifications may be sent 14, 7, 2, and 1 day before the account expiration date.
These notifications are purely service-related and not marketing.
